Office Management
·
Coordinates
activities of office staff.
·
Analyzes,
organizes, and maintains office services by organizing office operations and
procedures; preparing payroll; controlling correspondence; designing filing
systems; reviewing and approving supply requisitions; assigning and monitoring
clerical functions
·
Establishes
uniform correspondence procedures and style practices.
·
Formulates
procedures for systematic retention, protection, retrieval, transfer and
disposal of records.
·
Designs
and implements office policies by establishing standards and procedures;
measuring results against standards; making necessary adjustments
·
Completes
operational requirements by scheduling and assigning employees; following up on
work results
·
Maintains
office efficiency by planning and implementing office systems, layouts, and
equipment procurement
·
Initiates
cost reduction programs.
·
Reviews
clerical and personnel records to ensure completeness, accuracy and timeliness.
·
Prepares
activities reports for guidance of management, using computer.
·
Displays
professional appearance and manner.
·
Ensures
company facilities and grounds are maintained in a professional appearance.
·
Maintains
office staff by recruiting, selecting, orienting, and training employees
·
Maintains
office staff job results by coaching, counseling and disciplining employees;
planning, monitoring, and appraising job results.
·
Maintains
professional and technical knowledge by attending educational workshops;
reviewing professional publications; establishing personal networks;
participating in professional societies.
·
Contributes
to team effort by accomplishing related results as needed.
Customer Service
·
Directs
and coordinates customer service activities of company to install, service,
maintain, and repair landscaping activities.
·
Reviews
customer requests for service to ascertain cause for service request, and
customer address and phone number.
·
Determines
staff hours, number of personnel and parts and equipment required for service
call, utilizing knowledge of service and service procedures and practices.
·
Prepares
schedules for crews, assigned crew route.
·
Keep
records of work hours, services and materials used for each service call.
·
Place
orders for supplies and materials as needed, and with help of General
Supervisor.
·
Contact
crews by phone to obtain or give information and directions regarding service
or installation activities.
·
Ensures
subordinates display professional appearance and manner.
Data Entry
·
Operates
keyboard or other data entry device to enter data into computer: enters
alphabetic, numeric, or symbolic data from source documents into computer, and
following format on screen.
·
Responsible
for all entered data, to include proper billing and scheduling information.
·
Compares
data entered with source documents, or re-enters data if errors are detected.
·
Compiles,
sorts, and verifies accuracy of data entered.
